Position: Bookkeeper
Reports to: Treasurer, Board of Directors

Overview: The Bookkeeper is a critical member of the Contra Costa Humane Society (CCHS) team directly responsible for managing the accurate and complete data entry of all financial transactions, including but not limited to monetary and in-kind donation data entry and reconciliation of general ledger accounts to donor database and bank accounts. Supports identified Board members with required financial reporting and activity to maintain 501(c)3 status.
Working Hours: Up to 20 hours per week, Monday – Friday, with a minimum of one-two days per week in office and/or as needed to generate checks, pay bills, complete payroll and process monetary and in-kind donations.
Essential Functions
- Post all financial transactions, including invoices and deposits to Quickbooks general ledger.
- Reconcile all bank accounts monthly and resolve any discrepancies.
- Support integrity of general ledger accounts, including compliance, and provide monthly financials to present to Board and work to resolve any issues as needed.
- Participate with Board and Staff in annual budget planning process, as requested.
- Support annual tax preparation process.
- Oversee payroll processing system including submitting payroll bi-weekly and managing annual calendar of necessary deadlines for staff time submissions.
- Manage relationship with payroll processing service, including annual agreement review.
- Batch and process monetary and in-kind donation transactions into fundraising database.
- Reconcile monetary donations between fundraising database and General Ledger accounts.
- Provide appropriate fundraising reports.
- Coordinate donation acknowledgments with Development & Marketing Manager.
Qualifications and Requirements
- Minimum high school diploma. College degree, certification, or continuing education in Business Administration, Non-profit administration or related studies preferred.
- Minimum of 2 years of work experience in general bookkeeping and finance management.
- Proficiency in Quickbooks required; experience with fundraising database software a plus, specifically DonorPerfect.
- Demonstrated ability to make decisions, follow directions, and practice good judgment.
- Demonstrated organization and time management skills.
- Strong verbal and written communication skills.
- Strong computer skills including Excel, Word, PowerPoint, etc.
- Demonstrated ability to manage financial and payroll processing calendars, including preparation for and completing key filings by the deadlines.

Working Conditions
- Primary working location will be in animal shelter environment.
- Potential for exposure to animal bites and scratches; and animal feces, blood and zoonotic diseases.
- Must be able to tolerate the emotional aspect of working in an animal shelter environment.
